The Student Residences team at Spaces & Experiences (S&E) oversees and operates undergraduate and graduate student housing for more than 2,200 students on the St. George campus. Our residences include ChestnutResidence, Oak House, Graduate House, and Knox Residence. The Coordinator, Residence Projects role is an exciting opportunity to join a dynamic and evolving team at a time of significant growth and transformation. Over the past year, the department has expanded in both scope andcomplexity, introducing new programs, enhancing service delivery, and advancing initiatives that better support the needs of a diverse residential community.
Reporting to the Dean of Residence & Director of Student Life, the Coordinator, Residence Projects plays a key part in supporting this momentum. The position is designed to provide dedicated coordination for a wide range of cross-functional initiatives and special projects that are critical to the department’s continued success, including work spanning residence life, admissions, services, and operations. It contributes to the planning, execution, and tracking of projects, helping ensure they are delivered efficiently and aligned with strategic priorities.
The Coordinator, Residence Projects is responsible for coordinating project plans, timelines, documentation, and meetings across a range of initiatives. The role monitors progress, identifies risks, and prepares status updates and summary reports to support effective decision-making. It also contributes to the collection and analysis of assessment data for programs and services, and provides administrative support to the Dean of Residence & Director of Student Life, including coordinating schedules, maintaining records, andfollowing up on key actions in alignment with departmental priorities.
The successful candidate will bring a strong understanding of residence services and student experience, complemented by demonstrated experience with project coordination in a complex, service-oriented environment. While most work is conducted during regular business hours, evening and weekend work is sometimes required.
Your responsibilities will include:
- Coordinating tasks for projects and other strategic initiatives with stakeholders
- Determining actionable items based on the review of applicable information
- Coordinating meeting schedules, agendas, materials, action and follow-up items.
- Implementing plans and process improvements for project activities.
- Tracking program metrics to inform continuous service improvements.
- Resolving issues within the scope of the role and escalating problems as required.
- Tracking and collecting information on project progress.
Essential Qualifications:
- Advanced College Diploma (3 years) or acceptable combination of equivalent experience.
- Minimum five (5) years of experience in residence life, student housing, or related areas within a post-secondary environment, with demonstrated cross-functional experience across multiple areas.
- Demonstrated ability to develop, track, and adjust project plans, timelines, and deliverables across multiple concurrent initiatives.
- Strong interpersonal skills and student-centred approach, with the ability to work effectively with diverse stakeholders across functional areas.
- Proven ability to manage competing priorities, maintain accurate and detailed documentation, and meet deadlines in a fast-paced environment.
- Experience gathering, analyzing, and interpreting data to support program evaluation, continuous improvement, and strategic decision-making.
- Excellent written and verbal communication skills, including preparing reports, briefings, and statusupdates for senior leadership.
- Proficiency in coordinating schedules, managing records, and supporting leadership through follow-ups and priority tracking.
- Ability to proactively identify risks or challenges and implement effective solutions to keep projects on track.
- Strong understanding of residence life and a demonstrated commitment to enhancing the student experience through responsive and inclusive service delivery.
- Intermediate to advanced skills in Microsoft Office applications (Word, Excel, PowerPoint, Outlook, Planner), supporting data tracking, reporting, and presentation development.
- Direct experience with housing management software (i.e.: StarRez)
Assets (Nonessential):
- Experience with Opera property management system and/or Salto electronic lock systems.
