Your opportunity:
The ECE Graduate Office serves more than 800 students across three degree programs, 100 professors, over 1500 annual applicants, and numerous other stakeholders. Reporting to the Graduate Studies Administrator, the Graduate Programs Coordinator is a key member of the Graduate Office team and provides exceptional service in support of the mission of the Graduate Office and the Department of Electrical & Computer Engineering.
The incumbent is responsible for various aspects of program administration & student advising across ECE’s three graduate programs. Areas of focus include timetable development, registration & student records, monitoring academic performance expectations, scholarship & awards administration, accreditation and policy review support, and communications support.
Your responsibilities will include:
- Coordinating course timetables
- Coordinating the preparation and distribution of program and/or course material.
- Maintaining information on digital platforms and/or printed materials
- Preparing and distributing accreditation and/or academic audit documentation
- Advising on the appropriateness, precedents and process for petitions and appeals, and suggesting alternative course of action as necessary
- Tracking and monitoring distribution of awards; Implementing plans for awards programs and related objectives
- Liaising with stakeholders to coordinate space and resource requirements
- Reviewing and assessing student records to confirm eligibility to graduate
Essential Qualifications:
- Bachelor's Degree or acceptable equivalent combination of education and experience in an academic setting.
- Minimum four years of experience in student services and program administration in a post secondary setting.
- Significant experience in program administration including registration, enrolment, student records, timetables, scholarship / awards administration, and data analysis. Preference for experience administering graduate programs.
- Significant experience using Student Information Systems including or comparable to ROSI/ACORN.
- Experience working with a diverse student population in a culturally diverse and demanding environment.
- Experience in administering admissions processes, fee deferrals, course enrolment, timetabling, grades and final oral examinations and making all student information system entries.
- Excellent verbal and written communication skills.
- Strong interpersonal skills with the ability to maintain productive working relationships with both internal and external stakeholders.
- Ability to address sensitive and/or confidential matters with tact and discretion while adhering to established policies and procedures.
- Strong organizational and time management skills with the ability to work well under pressure and meet competing priorities and deadlines.
- Demonstrated analytical and problem solving skills, sound decision-making and resourcefulness, judgement and diplomacy.
- Excellent computer skills, including significant experience with MS Office Suites (Word, Excel, PowerPoint) & SharePoint.
