Reporting to the Vice President, Legal, Risk & Safety and Chief Legal Officer (“Vice President”), the incumbent is a member of a professional administrative framework that supports a wide range of high-level confidential administrative and operational activities in the Legal, Risk & Safety portfolio. The incumbent has responsibility for executive administrative support to the Vice President including preparation for daily activities, calendar management, special projects and events while ensuring that all tasks are managed proficiently and are delivered with the highest standard of excellence, confidentiality and professionalism. The broad scope of this position is driven by the complex range of responsibilities undertaken by the Vice President.
Key responsibilities include managing all aspects of the Vice President's schedule, which includes arranging meetings, internal and external visits, University events, hospitality, conference calls, travel and other logistical arrangements; communicating with other members of the vice presidential teams to ensure full knowledge and understanding of the scheduled priorities; ensuring the Vice President is briefed and prepared for meetings; preparing confidential and sensitive correspondence; and proactively taking the initiative to help ensure that deadlines and schedules are met.
As part of a professional executive support team within the portfolio of the Vice President, the incumbent participates in planning, coordinating and implementing portfolio activities and provides support to other members of the Vice President’s leadership team; implements and maintains highly effective and professional office procedures in a complex, high volume environment; resolves issues and answers inquiries independently based on understanding of the portfolio and priorities; ensures the team is informed of pertinent issues; maintains positive relations and communications with a wide variety of internal and external contacts; and anticipates administrative requirements in order to be proactive and supportive of all activities.
Tertiary responsibilities include acting as the frontline for the Vice President, answering and directing inquiries in person and on the phone. The incumbent provides support and backup for the other administrative team members as required; compiling materials and other related information for distribution at, or in preparation for meetings, events and other communications; filing documents; and ordering catering, cabs, and couriers.
Qualifications Required:
I. EDUCATION:
University degree or an equivalent combination of education and experience.
II. EXPERIENCE:
Minimum of five years senior and/or executive administrative support experience, preferably within a public sector environment.
Demonstrated experience in liaising with senior academic administrators, responding to and handling matters of a complex, confidential and sensitive nature. Experience applying and working with policies and procedures. Experience establishing and maintaining effective office systems and protocols.
III. SKILLS:
Excellent 70 wpm typing. Excellent knowledge of Microsoft Word, Excel, PowerPoint and e-mail. Familiarity with SharePoint. Familiarity with the internet and web posting. Demonstrated attention to detail and accuracy. Ability to maintain confidentiality.
IV. OTHER:
Superior oral and written communication, interpersonal, decision-making and organizational skills. Ability to proactively manage a large and constantly fluctuating workload. Professional demeanor and ability to exercise tact, judgment and discretion. Ability to maintain strict standards of confidentiality. Demonstrated initiative and flexibility. Meticulous attention to detail. Ability to remain calm under pressure and to meet deadlines. Ability to communicate effectively and professionally with a wide range of individuals across all levels of the University and with external community stakeholders. Demonstrated diplomacy. Proven ability to work both independently and to collaborate and participate effectively within a team environment.
