Your opportunity:
Under the general direction of the Associate Chair, Undergraduate Student Experience, the Undergraduate Program Administrator & Academic Advisor is responsible for providing support to over 500 undergraduate students, the Undergraduate Office, and day to day supervision of four Undergraduate Office staff.
Your responsibilitieswill include:
- Providing detailed information on program and/or course eligibility requirements, procedures, policies and deadlines
- Advising students on academic and/or financial matters by providing options and consequences incorporating personal circumstances impacting academic success and an understanding of an individual's background
- Implementing program improvements and maintenance of program standards
- Coordinating the preparation and distribution of program and/or course material
- Analyzing statistical information to inform enrollment projections and planning
- Handling sensitive and/or confidential information
- Updating and maintaining records
- Directing the activities of a group of staff-appointed employees all performing a similar function
Essential Qualifications:
- Bachelor's Degree or acceptable combination of equivalent experience.
- Minimum five (5) years of recent and related experience in a post-secondary academic environment
- Minimum three (3) years of recent and related experience with undergraduate program administration
- Demonstrated experience with ROSI, ROSI Express, Degree Explorer, ACORN and Quercus or equivalent level student information system
- Ability to interpret, apply judgement and meet guidelines and timelines in a variety of situations
- Excellent written and verbal communication, problem solving and analytical skills
- Demonstrated ability to maintain confidentiality; Ability to work with minimum supervision; Good judgement, tact and discretion
- Demonstrated interest and enthusiasm for working with students
- Ability to deal effectively, professionally and personably with a multi-cultural, international and diverse pool of students, applicants, faculty and staff. Demonstrated ability to relate in a manner that builds trust and confidence
- Demonstrated commitment to equity, diversity, inclusion and the promotions of a respectful and collegial learning and working environment
- Superior customer service and interpersonal skills with a demonstrated positive attitude and service orientation. Demonstrated ability to create and ensure a welcoming environment for the diverse community of students, staff, faculty and the public
- Excellent computer skills, including extensive experience with MS Office Suite (Word, Excel, Access, PowerPoint, Forms, SharePoint); Content Management Systems (WordPress, Quercus); Extensive experience with ROSI or equivalent system and comfortable using new digital platforms; Ability to adapt quickly to learn new processes and emerging technologies; Ability to produce reports
- Excellent time management, prioritization and organizational skills and the ability to meet deadlines, work with interruptions. Excellent attention to detail
Assets (Nonessential):
- Experience with Faculty of Applied Science and Engineering curriculum and regulations
- Additional training in advising (i.e. IAR (Identify, Assist, Refer), ASIST (Applied Suicide Intervention Skills Training)
