Your opportunity:

The Rotman Commerce program is offered jointly by the Rotman School of Management and the Faculty of Arts and Science. It is a highly respected program within the business, financial and academic communities. Rotman Commerce serves approximately 3,300 in-program undergraduate business students as well as over 18,000 graduates of the Bachelor of Commerce program. Rotman Commerce offers its students a rich and rigorous academic program alongside ample opportunities to develop themselves personally and professionally.

As the Room Bookings and Event Assistant, you will play a key role in supporting the coordination of non-academic room bookings and event logistics for Rotman Commerce. You will be the first point of contact for clients seeking space for meetings and events, ensuring their needs are met efficiently and professionally. Your work will contribute to the smooth execution of events and the effective use of campus facilities.


Your responsibilities will include:

  • Administering non-academic room bookings through an online system
  • Matching client needs with available space and referring complex requests to senior staff
  • Coordinating logistical details for events, including room setup, signage, and AV equipment
  • Liaising with stakeholders, vendors and facilities staff to ensure seamless event execution
  • Monitoring room conditions before and after events and taking corrective action as needed; identifying and reporting facility maintenance needs
  • Providing routine information and support to event organizers
  • Maintaining accurate records and overseeing the room booking system
  • Supporting risk management protocols and ensuring compliance with safety regulations

Essential Qualifications:

  • Bachelor's Degree or acceptable combination of equivalent education and experience
  • Minimum two (2) years of related experience in event coordination, facilities management, and administrative support
  • Strong organizational and problem-solving skills with attention to detail
  • Excellent communication and interpersonal skills
  • Proficiency with Microsoft Office (Word, Excel, Outlook) and online booking systems
  • Ability to manage multiple tasks and respond to issues in a fast-paced environment
  • Familiarity with event logistics, including AV coordination and room setup
