Location: Eastern Kentucky (Serving Bell, Floyd, Harlan, Johnson, Knott, Knox, Leslie, Letcher, Magoffin,
Martin, Perry, and Pike counties)
Reports To: HR & Compliance Manager
The Administrative Coordinator will play a key role in overseeing human resources functions, including hiring, onboarding, and professional development, while also supporting compliance and reporting requirements. This position will provide support to ensure that the administrative and operational aspects of the project run smoothly, contributing to the overall success of the project.
This role will be in office 5 days a week. Satellite offices are located throughout the 54-county service territory.
Duties and Responsibilities
- Human Resources and Talent Management:
- Independently review and screen job applications to assess qualifications and fit for positions.
- Conduct initial phone interviews and determine candidates to advance in the hiring process with the hiring manager.
- Make recommendations to hiring managers and coordinate interview logistics.
- Develop and maintain recruitment tracking systems and improve candidate evaluation processes.
- Onboarding and Employee Development:
- Work with the HR + Compliance Manager to design and implement onboarding programs that align with organizational culture and objectives.
- Support the organizational growth by staying abreast to professional development opportunities.
- Assist in collecting all required documentation for new employee enrollment.
- Compliance Reporting:
- Support the preparation and submission of reporting (both internally and externally), ensuring accuracy, timeliness, and alignment with EDA regulations and SOAR policy.
- Monitor compliance with HR procedures, recommend improvements, and take proactive steps to address potential risk.
- Operational Leadership:
- Support the HR & Compliance Manager with audit preparation and process reviews by organizing documentation and recommending system enhancements.
- Develop, maintain, and improve administrative processes, including those related to personnel records, grant documentation, and reporting frameworks.
- Cross-Functional Support:
- Coordinate logistics and materials for internal events, workshops, and meetings.
- Act as a central point of contact for administrative issues and resolve concerns with minimal supervison.
- Mentor administrative staff as needed and help lead continuous improvement efforts in operational workflows.

Expectations:
- Basic understanding of HR functions, including recruitment, onboarding, employee records management, and professional development.
- Knowledge or experience with federal grant compliance or the ability to learn and navigate grant-related regulations.
- Strong organizational and time management skills, with the ability to manage multiple tasks, meet deadlines, and prioritize work in a fast-paced environment.
- Previous experience in an administrative support role, with strong attention to detail and data management preferred.
- Excellent written and verbal communication skills, with the ability to interact professionally with a diverse range of stakeholders.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint) and experience with HRIS or database management systems is a plus.
- Ability to work both independently and collaboratively as part of a team, with a solution-oriented approach to challenges.
- Flexibility to adapt to changing project needs and priorities, with a willingness to take on new tasks as they arise.

- Must be able to handle prolonged periods of sitting at a desk or standing at an event
- Must be able to lift up to 15 pounds at a time when necessary
