Position Summary:

We are seeking a highly organized, proactive and experienced Senior Administrative Assistant to support our Partner in a full-time, predominantly in office role in Dallas, Texas. The ideal candidate will provide business, personal and team support to ensure the smooth and efficient operations of the various ventures of the group. This position requires a detail-oriented individual who is motivated, possesses exceptional communication skills, and can manage multiple tasks effectively in a fast-paced and highly entrepreneurial environment. This role will also provide exposure to various aspects of business operations and opportunities to contribute to the success of our organization.

Responsibilities:

  • Manage the Partner’s calendar, schedule meetings, and coordinate appointments.
  • Arrange and coordinate travel itineraries, accommodations, and logistics.
  • Prepare and submit expense reports accurately and in a timely manner.
  • Prepare and organize materials for meetings, including presentations, reports, and agendas.
  • Prepare and edit correspondence, communications, presentations, and other documents.
  • Order catering services and make reservations for business functions and meetings.
  • Conduct research, compile data, and prepare reports for consideration and presentation.
  • Coordinate and manage special projects and initiatives as assigned.
  • Serve as a liaison between the executive and other internal departments, clients, and external partners.
  • Answer and screen phone calls, directing them to the appropriate parties and handling messages professionally.
  • Greet and assist guests, ensuring a welcoming and professional environment.
  • Handle ad hoc requests as needed.

Required Skills/Abilities:

  • Proven experience as an administrative assistant or in a similar role.
  • Highly organized, detail-oriented, and capable of handling sensitive and confidential information.
  • Excellent verbal and written communication skills.
  • Strong organizational and time-management abilities.
  • Ability to multitask, prioritize tasks effectively, and manage heavy workloads in a deadline-driven, fast-paced environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong problem-solving skills and attention to detail.
  • Ability to work independently and as part of a team.
  • High level of discretion, professional demeanor, integrity, and ethics.
  • Strong interpersonal skills and the ability to build relationships with stakeholders.
  • Ability to run errands and drive to project sites as needed.

Education and Experience:

  • Associate or bachelor’s degree preferred.
  • Minimum of 5 years of experience in an administrative assistant role or similar.
  • Experience in supporting high-level management.
  • Experience in an entrepreneurial, fast-paced environment.
  • Demonstrated experience working in a professional office environment.
  • Venture capital or financial services experience preferred.
