As a member of this team, you will be responsible for:


Customer Service:

  • Customer relationship management; overseeing scheduling of tenant events and meetings, formal and informal tenant meetings; coordinating tenant construction; performing regular tenant greetings in the lobby.•


Operations:

  • Providing day to day operations management of the assigned property or properties; directing the activities of workers engaged in operating and maintaining the facilities and equipment in the office building; ensuring quality of operating services, both internal (i.e. engineering, construction) and third party (i.e. landscape, janitorial);

  • Overseeing the daily maintenance, upkeep and conditions of assigned property or properties; performing regular building tours at various times/days to ensure smooth operations, cleaning, security, and snow removal management; managing building vendors (meetings, contract review, and coordination);

  • Work order management-responsible for managing the process; closing work order requests, billing work orders, verifying work orders and providing billing information; following up with tenant, vendors on completed work orders;

  • Providing support and assistance to leasing; ensuring lease requirements are adhered to; monitoring vacant space;

  • Participating in Emergency Response (training, annual building evacuation) as directed; assuring that life safety programs are in place and meet all company guidelines and legal requirements for tenants and employees of assigned building(s).


Financial:

  • Reviewing annual operating and tax true ups; preparing monthly utility billings; preparing the annual operating budget; creating and managing property budgets; reviewing monthly and YTD GL; completing monthly accruals, variance reports, and quarterly forecasts; coding invoices in OTAP for payment;

  • Accounts receivables, managing collections and maintaining AR files; generating monthly recurring billings statements, entering tenant billings in JDE, applying cash in JDE.


Administrative:

  • Preparing tenant communications and responding to customer emails, requests or issues as required; scheduling and attend customer meetings; maintaining customer contacts and emergency response information; monitoring and maintaining tenant and vendor COI’s; preparing vendor contracts; coordinating tenant events; general administrative duties (mail, office management, scheduling, filing, etc.); additional duties as required.

The annualized base salary ranges for the primary location and any additional locations are listed below. The base salary that is ultimately offered to the successful candidate will consider a wide array of factors including but not limited to the individual’s skill set.

Primary location: District of ColumbiaYou will be a key onsite representative of the Oxford property management team in day-to-day operations. The Assistant Property Manager will provide world class customer service to tenants and customers. You will be responsible for the overall Accounts Receivable and Accounts Payable process (applying cash, working in JDE, coding invoices, etc.). The position will also be responsible for property operations including but not limited to monitoring the work order system, contracts, maintaining customer and vendor relationships, lease and vendor files, COI’s, property tours, etc. Serve as liaison between customers, vendors, corporate/regional and leasing personnel.
