Program Coordinator
Department of Head & Neck Surgery & Communication Sciences
Overview:
The Duke Head and Neck Surgery & Communication Sciences Department is seeking a Program Coordinator to support the HNSCS program, reporting to the Lead HNSCS GME Program Coordinator. This role will provide GME, CME, and event coordination, ensuring ACGME compliance and the overall success of the program. The coordinator will collaborate cross-functionally with Duke leadership, faculty, the GME office, and staff to achieve program goals.
Responsibilities:
- GME and CME Support:
- Provide administrative support for the GME programs, ensuring continuous improvement.
- Maintain CME applications, accreditation and attendance.
- Assist with administering in-service exams and organizing residency and fellowship interviews.
- GME Program Coordinator Support:
- Provide ongoing support to the GME Program Coordinator by meeting regularly to address program needs and ensure seamless execution of tasks.
- Assist in managing the workload of the GME Program Coordinator and help prioritize tasks effectively.
- Event Logistics:
- Coordinate and assist with logistics for Grand Rounds, CME courses, and other departmental events, including travel, accommodations, and vendor relationships.
- Establish and maintain a list of preferred vendors (hotels, caterers, transportation services).
- Collaborate with medical directors and planning committees to design CME activities, ensuring adherence to budget, timeline, and educational objectives.
- Handle communication with faculty, vendors, and leadership, ensuring all event details are clearly conveyed.
- Special Events & Budgeting:
- Organize and execute special department events (lectureships, graduations, team-building, Alumni Symposium, etc.), ensuring smooth execution from start to finish.
- Track event success through post-event feedback, analyzing results and making recommendations for improvement.
- Prepare budget projections for all events and ensure financial compliance.
- Create event materials (invitations, posters, signage) to promote departmental activities.
- Develop and maintain a department-wide event calendar, coordinating with leadership to ensure optimal scheduling.
- Additional Responsibilities:
- Manage alumni relations, ensuring timely communication and participation in national meetings.
- Maintain the departmental call schedules and process call reimbursements efficiently.
- Maintain and communicate with visiting observers to ensure all requirements are met, including acting as a liaison between international observers and Duke Visa Services.
- Maintain and communicate with Sub Interns during HNSCS rotations.
Qualifications:
- One year of experience in program administration, with a focus on academic, instructional, or counseling activities, or an equivalent combination of education and experience.
- Proficiency in MS Office Suite, web-based evaluation tools, and content delivery software.
- Experience in managing or supporting program coordinators, with the ability to prioritize tasks and optimize workflows.
Skills:
- Strong organizational and time management skills to balance multiple tasks under pressure.
- Ability to work independently, while also providing support to team members.
- Detail-oriented with exceptional communication skills, both written and verbal.
- Analytical skills for evaluating program performance and identifying areas for improvement.
- Proficient in evaluating educational programs, summarizing findings, and formulating action plans to drive program success.

Anticipated Pay Range:
Duke U niversity provides an annual base salary range for thisposition as USD $ 43,888.00 to USD $70,300.00. Duke University considersfactors such as (but not limited to) scope and responsibilities of the position; candidate' s work experience, education/training, and keyskills; internal peer equity; as well as market and organizational considerations when extending an offer.
