Executive Assistant

POSITION SUMMARY:
B Capital is seeking an experienced Executive Assistant to provide primary support to the Healthcare Investment team. The individual will take full responsibility in managing the day-to-day schedule and needs of multiple Partners, as well as providing event management and administrative support to the team. Additionally, the individual will work as part of the broader B Capital team by corresponding with other Executive Assistants and team members in our global offices on daily tasks and long-term initiatives.
KEY RESPONSIBILITIES:
Administrative Support:
- Manage ever-changing complex calendars with an understanding of business priorities to offer alternatives and considerations as needed to maximize the teams time and efficiency.
- Schedule, coordinate, and oversee a wide variety of internal and external meetings that are both on-site and off-site.
- Organize complex domestic and international travel arrangements. Anticipate and coordinate point-to-point travel and logistical needs.
- Organize and prepare materials in advance of meetings, maintain files and record-keeping systems, including files that may be confidential.
- Prepare and submit expenses for the Partner in accordance with company guidelines.
- Provide support to B Capital's external visitors and guests by assisting with meeting setup, catering, and logistics.
- Support business objectives under guidance by building relationships with clients and client’s assistants to coordinate schedules and facilitate information flow.
- Assist with event planning, CRM management, and any ad hoc projects that may arise.
- Assist in occasional personal requests, including reminders and paperwork.
Event Management:
- Plan, coordinate, and execute a range of internal and external events for the Healthcare team, including team offsites, investor meetings, client receptions, and leadership summits.
- Oversee overall event logistics: including venue confirmation, vendor coordination, catering, and guest communications, ensuring a seamless and professional experience.
- Work closely with the broader team to manage guest lists, invitations, and RSVPs, ensuring accurate tracking and follow-up.
- Maintain a calendar of recurring and ad hoc events, proactively managing timelines and deliverables to ensure timely execution.
- Provide on-site support and oversight during events to ensure smooth operations, addressing any issues promptly and professionally.
- Serve as the main point of contact for all event-related coordination and inquiries.
Miscellaneous:
- Provide additional support to the CFO on travel arrangements and calendar management.
- Troubleshoot immediate IT issues in the office (e.g., video conferencing, printer issues).
- Coordinate with front desk staff to book conference room space for meetings.
DESIRED QUALIFICATIONS & SKILLS:
- 5-8+ years of experience working in a fast-paced environment supporting senior executives
- BS/BA degree in a relevant discipline
- Event planning/coordination will be added advantage
- Strong knowledge in Microsoft Office, including Outlook, Word, Excel, and PowerPoint, and Google suite of products
- Ability to occasionally work outside normal office hours to accommodate Asian and European time zones, including responding to timely e-mail requests as needed
- Prior experience working as an Executive Assistant in finance, Venture Capital, PE, or a Law firm is preferred, but not required

The salary range is $70,000 - $110,000 and will be commensurate according to relevant experiences.
